Adding up working time correctly

Hours worked on a day are end time − start time − unpaid breaks. From 9:00 to 17:30 with a 30-minute lunch that is 8 hours. Add the days for the weekly total; to turn it into decimal hours, divide the minutes by 60 — 37 hours 30 minutes is 37.5 hours. Pay is then simply decimal hours × hourly rate.

Overtime rules depend on the country. In the United States the Fair Labor Standards Act requires at least 1.5 times the regular rate for hours over 40 in a workweek for non-exempt employees; some states, such as California, add daily overtime after 8 hours. In the EU the Working Time Directive caps the average week at 48 hours including overtime, while the pay for overtime is set by national law, collective agreements or the contract.

Whether a break is paid is also a matter of law and contract. Short rest breaks are usually paid in the US, while meal breaks of 30 minutes or more are typically unpaid; in Germany a 30-minute break is mandatory after six hours and is not working time. Enter only unpaid breaks in the break column.

How do I calculate hours worked?

Subtract the start time from the end time and deduct unpaid breaks. 8:30 to 17:00 with a 45-minute break is 8:30 − 0:45 = 7 hours 45 minutes, or 7.75 hours.

How do I convert hours and minutes to decimal hours?

Divide the minutes by 60 and add the hours: 7 hours 45 minutes = 7 + 45 ÷ 60 = 7.75 hours.

How is overtime calculated here?

Overtime is worked out by the daily rule and by the weekly rule, and the larger of the two is used, so no hour is counted twice. Overtime hours are paid at your rate times the factor you set, 1.5 by default.

Does it handle night shifts?

Yes. If the end time is earlier than the start time, the shift is taken to end on the following day.

Are breaks paid?

That depends on your contract and local law. Enter only unpaid break time; paid breaks should simply be left out.

Is my timesheet stored anywhere?

Only on your own device, so that it is still there next time. Nothing is sent to a server; “Reset” clears it.
